Refund Policy

PolarisVectorm provides web agency services including web development, SEO optimization, design, and cloud infrastructure. This Refund Policy outlines the conditions under which refunds may be issued for services rendered.

1. Service Commencement

Work commences upon receipt of the initial payment or signed project agreement. By engaging PolarisVectorm services, you acknowledge that work may begin immediately and that digital deliverables may be non-reversible once production has started.

2. Refund Eligibility

  • Pre-Production Cancellation: If you cancel before any work has commenced, a full refund of the initial payment will be issued within 14 business days.
  • Partial Production: If cancellation occurs after work has begun but before the first milestone delivery, a partial refund of up to 50% of the initial payment may be issued, calculated based on work completed.
  • Post-Milestone: No refund is available after delivery of a completed milestone or deliverable, as resources and labor have been fully committed.

3. Non-Refundable Items

  • Third-party licenses, domain registrations, and hosting fees paid on your behalf.
  • Completed and delivered design mockups, code repositories, or SEO audit reports.
  • Consulting sessions that have already been conducted.

4. How to Request a Refund

To request a refund, send an email to [email protected] with your project reference, reason for the refund request, and any supporting documentation. We will review your request and respond within 5 business days.

5. Dispute Resolution

In the event of a dispute regarding refund eligibility, PolarisVectorm commits to good-faith negotiation. If a resolution cannot be reached, disputes shall be submitted to the competent courts of Madrid, Spain, in accordance with applicable EU consumer protection directives.

These Terms of Service ("Terms") govern your use of services provided by PolarisVectorm ("we," "us," or "our"). By engaging our services, you agree to be bound by these Terms. Please read them carefully.

1. Scope of Services

PolarisVectorm provides web agency services including but not limited to: website development, search engine optimization, UI/UX design, e-commerce solutions, cloud infrastructure setup, content creation, performance engineering, and analytics implementation. The specific scope, deliverables, timeline, and pricing for each project will be defined in a separate written agreement or proposal.

2. Project Process & Milestones

  • Projects are divided into defined milestones with specific deliverables.
  • Client feedback is required at each milestone gate before proceeding.
  • Delays in client feedback may extend the project timeline proportionally.
  • Scope changes requested after approval of a milestone may incur additional charges.

3. Payment Terms

  • Payment is due as specified in the project proposal or invoice.
  • Initial deposits are non-refundable once work has commenced (see Refund Policy).
  • Late payments may incur a penalty of 1.5% per month on the outstanding balance.
  • All prices are quoted in Euros (EUR) and are exclusive of applicable VAT unless otherwise stated.

4. Intellectual Property

Upon full payment, all intellectual property rights for the delivered work product (source code, designs, content) are transferred to the client. PolarisVectorm retains the right to display the work in its portfolio and marketing materials unless explicitly prohibited in writing. Pre-existing frameworks, libraries, and tools used during development remain the property of their respective owners.

5. Confidentiality

Both parties agree to maintain the confidentiality of proprietary information shared during the course of the project. This obligation survives termination of the agreement for a period of 3 years.

6. Limitation of Liability

PolarisVectorm's total liability under any engagement shall not exceed the total fees paid by the client for the specific project giving rise to the claim. We shall not be liable for indirect, consequential, or incidental damages, including loss of revenue, data, or business opportunity.

7. Warranty

PolarisVectorm warrants that all deliverables will conform to the specifications agreed upon in the project proposal. A 30-day post-delivery warranty period is provided for bug fixes related to the agreed scope. Issues arising from third-party services, client modifications, or external factors are excluded from this warranty.

8. Termination

Either party may terminate the agreement with 14 days' written notice. In the event of termination, the client is liable for payment of all work completed up to the termination date. PolarisVectorm will deliver all completed work product upon receipt of outstanding payment.

9. Governing Law

These Terms are governed by the laws of Spain and the European Union. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Madrid, Spain.

10. Amendments

PolarisVectorm reserves the right to amend these Terms at any time. Material changes will be communicated via email to active clients. Continued engagement after notification constitutes acceptance of the amended Terms.
